1. Chestermere Boxing Club reserves the right to refuse admittance and the use of the facility to anyone.

  2. Members must remove outdoor shoes before entering the facility. Only indoor shoes are acceptable.

  3. NO GUM or FOOD allowed in the facility, unless seated and leaving the area clean with no garbage.

  4. No members are allowed behind the front desk or in the utility room.

  5. No loud or abusive language is permitted.

  6. Adjustment to the televisions, music, heater, air conditioner and other equipment may be made by the staff only

  7. All trash must be disposed of in the proper receptacles.

  8. Member’s failure to use the facility/non-attendance is not grounds for cancellation and, or non-payment of the agreement.

  9. Chestermere Boxing Club reserves the right to cancel or ban any member at any time based on the manager’s discretion.

  10. Members are expected to leave the premises by closing time.

  11. Respecting all people who walk through our clubs’ doors, we pride ourselves on being a safe place for all.

  12. No Alcohol, Drugs or Smoking are allowed on the premises.

  13. The Sale, distribution, or promotion of prescription and non-prescription drugs will result in the immediate revocation of membership as deemed satisfactory by management.

  14. All advertising literature, posters, or personal notices either posted or for distribution is allowed without the written permission of management.

  15. Parents/guardians are welcome to take a seat and wait for their child only during their time at the facility.

  16. NO ARENA VIEWING

  17. Photos and/or videos of facility may be taken and used for social media and advertising purposes.

VIDEO SURVEILLANCE

For the safety of our members, the gym is under 24-hour video surveillance, which is only viewed if a disturbance or a claim should occur.

  1. Members must be properly attired in standard workout gear or clothing while using the facility.

  2. Athletic indoor shoes must be worn inside the facility at all times.

  3. No food is allowed in the facility, unless you are seated and properly discard of them.

  4. Workout bags can be put on or under chairs. Lockers are available for a nominal monthly fee of $15+GST or $3+GST daily.

  5. Weights, bars, barbells, dumbbells, and other weightlifting equipment are restricted to those areas only.

  6. Wipe machines, weights, etc. after use, there are bottles of cleaners & rags all around the facility.

  7. Please put whatever you use in its proper place, nothing should be left on the floor.

CANCELATION, MEMBERSHIP CHANGES

Membership Cancellation, Account Freeze Requests or Membership Changes

1. All membership cancellations, changes and freeze’s must be submitted in writing by email to:

accounts@chestermereboxing.com

Cancellation, Freezes and Membership change requests made in person, by phone, or verbally to the front desk are not considered valid.

2. Notice Period

Membership cancellations and Membership changes are processed according to the notice period outlined in the membership agreement, which states we require 30 days written notice sent by email to the accounts email.

  • Billing continues during the notice period (30 days)

  • Access remains active until the end of the notice period (last day to use facility)

  • Notice periods apply regardless of attendance or usage

3. Required Information

To ensure timely processing, freeze, membership changes and cancellation emails must include:

  • Full name of the member

  • Account email or phone number

  • If for a minor: name of parent/guardian and child

  • Requested account cancellation or the freeze date which can only be done in 3 month installments maximum.

Incomplete requests may delay processing.

4. Billing & Refunds

  • Membership fees already charged are non-refundable, unless otherwise required by law

  • Refund requests are reviewed case-by-case by the accounts team

  • Front desk staff cannot authorize refunds or billing reversals

5. Card Expiry & Payment Changes

Expired cards, replaced cards, or payment interruptions do not cancel a membership.
Members are responsible for ensuring billing information is kept up to date

6. Confirmation

Once a freeze, membership change or cancellation request is received and processed, a confirmation email will be sent. If you do not receive confirmation, please follow up to ensure your request was received.

LOW-INCOME ASSISTANCE

Low-Income Membership Assistance
We understand that regular membership fees may be a barrier for some. If your annual household income meets Canada’s low-income criteria, you may qualify for a reduced or waived fee membership. Email your latest Notice of Assessment (NOA), household size, and name to flora@chestermereboxing.com. Eligibility is assessed based on official low-income thresholds. You will receive a response within 14 days.

We review applications on a first-come, fair basis.

  • Eligibility is based on the NOA and household size compared to LICO thresholds.

  • If eligible, individuals will be offered one of the following, at our discretion:

    • Reduced fee membership

    • Sliding-scale membership

    • Waived membership in exchange for community service hours (if available)

Each approved membership will include a written agreement outlining fees, duration, and expectations.

To qualify for low-income assistance, applicants must demonstrate that their annual household income falls at or below the Canada Low Income Cut-Off (LICO) thresholds for their household size, as defined by Statistics Canada. These thresholds represent income levels at which families or individuals are considered to be in a low-income situation relative to average living costs.

Example (LICO before tax, 2024/2025):

  • 1 person: ≈ $29,000 / year

  • 2 persons: ≈ $36,500 / year

  • 3 persons: ≈ $44,900 / year

  • 4 persons: ≈ $54,600 / year
    (Amounts are approximate and subject to annual change; official thresholds will be posted when updated)

NOTE: Applications without a valid NOA will not be considered.

All financial documents submitted to us are stored securely off-site and used only for eligibility assessment. We do not share income information outside our accounts and membership teams.

Applicants will be notified by email within 14 days of receipt of their complete submission. If additional information is needed, you will be contacted at the email address provided.

This policy helps individuals and families who cannot afford regular gym fees by providing a donation-based, subsidized, or waived membership option based on demonstrated financial need.
